01Who we are

Canadian Intelligence Agency Inc. ("the Agency", "we", "us") is a private Canadian AI consulting company. We are not affiliated with any government or governmental organization. For any privacy question, contact us at [email protected].

02What we collect

We only collect what you choose to give us. Specifically:

Intel briefing / consultation form: your name, organization, email, and the objective or message you submit.
Interactive console: if you enter an email in the on-site terminal to request clearance, we record that email and the query text you typed, as an inquiry.
Recruitment: if you apply to join, you email us your name, email, phone number, cover letter, and resume.
Operator portal (invitation only): if you are granted portal access, we process your email for authentication and store the answers you submit in any questionnaire.
Automatically: our pages load typefaces from Google Fonts, so your IP address and basic browser information are shared with Google to serve those fonts. We do not use advertising cookies or third-party analytics trackers. The operator portal uses your browser's local storage to keep you signed in.

03How we use it

To respond to your inquiry and provide the services you request.
To evaluate and communicate with job and partnership applicants.
To operate the secure portal and deliver documents to authorized clients.
To meet our legal and security obligations.

We do not sell your personal information, and we do not use it to train public AI models.

04Consent

By submitting a form or emailing us, you consent to our use of the information for the purposes above. You may withdraw consent at any time (see Your rights). If we ever want to use your information for a new purpose, we will ask first.

05Where your data is stored

Form and portal data is stored in Google Cloud Firestore in the Canadian region (Montreal, northamerica-northeast1), so it stays on Canadian soil. Authentication is handled by Google Firebase Authentication. Google acts as our service provider (data processor) and may process limited technical data in accordance with its own terms; we configure our storage to remain in Canada.

06Who we share it with

We share personal information only with service providers that help us operate, under confidentiality obligations:

Google (Firebase / Google Cloud): hosting of our database, authentication, and web fonts.
Meta (Instagram): only if you click through to our Instagram profile, where Meta's own privacy policy applies.

We may also disclose information if required by law, or to protect our rights and the security of our systems.

07How long we keep it

We keep personal information only as long as needed for the purpose it was collected, or as required by law, and then delete or anonymize it. You can ask us to delete your information sooner.

08Your rights (PIPEDA)

Under Canada's Personal Information Protection and Electronic Documents Act, you have the right to:

Access the personal information we hold about you.
Ask us to correct inaccurate information.
Withdraw your consent and ask us to delete your information.
Complain to the Office of the Privacy Commissioner of Canada if you are not satisfied with our response.

09Security

We protect your information with encryption in transit and at rest, strict access controls, and an invitation-only, authenticated portal for any confidential documents. No method of transmission or storage is perfectly secure, but we work to keep your data safe and to keep it in Canada.

10Email and anti-spam

If we send you commercial email, we comply with Canada's Anti-Spam Legislation (CASL): we send it only with a lawful basis, identify ourselves, and include a way to unsubscribe. You can opt out at any time.

11Children

Our services are intended for businesses and adults. We do not knowingly collect personal information from children.

12Changes to this notice

We may update this notice as our practices evolve. The effective date at the top shows the latest version. Material changes will be reflected here.
